TERMS & CONDITIONS
Service Area
Picnic packages are available within Lake Geneva and the immediate surrounding area. Please contact us prior to booking for locations outside our service radius, as additional travel fees may apply.
Booking & Payment
A 50% non-refundable deposit is required to secure your picnic date. The remaining balance is due 7 days prior to the scheduled picnic. Balances not paid by the due date may result in cancellation and forfeiture of the deposit.
Weather Policy & Force Majeure
If weather conditions are not suitable for an outdoor picnic, Lake Geneva Picnic Company will work with you to find the best alternative. Options may include relocating to a covered or indoor backup location of your choice, rescheduling within the same week (subject to availability), or receiving a credit for a future date. All credits must be used within 6 months of issuance.
Lake Geneva Picnic Company is not responsible for cancellations, delays, or changes caused by severe weather, natural disasters, or government restrictions beyond our control.
Dessert and balloon add-ons are non-refundable, as they are custom ordered; however, pickup arrangements may be made if a credit is issued. While we are happy to assist in suggesting indoor backup locations (subject to availability and any venue fees), securing an indoor location is the client’s responsibility.
Cancellations & Changes
Because our picnics are custom experiences and include perishable items such as food and fresh florals, the following cancellation terms apply:
- More than 14 days prior: Receive a 100% credit for any amount paid, usable within 6 months of the original picnic date.
- 7–14 days prior: The deposit is forfeited; any additional payments will be issued as a credit usable within 6 months.
- Within 7 days: All payments are non-refundable, and no credit will be issued.
All credits are non-transferable, may not be redeemed for cash, and must be used within 6 months of the original picnic date.
Changes to guest count, location, or timing must be communicated at least 3 days prior to the scheduled picnic.
Early Departure
If you plan to leave before the conclusion of your scheduled two-hour picnic window, please provide at least 30 minutes’ notice to your on-site contact so arrangements can be made for breakdown.
Supervision & Public Spaces
Picnic setups may not be left unattended on public property at any time. Guests are responsible for following all park or venue rules, including restrictions related to alcohol, pets, or occupancy.
Property & Damages
All items provided for your picnic—excluding food, beverages, flowers, and vases—remain the property of Lake Geneva Picnic Company. Damage to or removal of any items may result in replacement or repair fees charged to the card on file. Guests are also responsible for leaving the picnic area in the condition it was found; excessive cleanup may result in additional charges.
Liability
Guests acknowledge that, to the fullest extent permitted by law, Lake Geneva Picnic Company is not liable for personal injury, property damage, or accidents that occur during the event.
Private Property & Client Responsibility
When booking a picnic at a private residence, vacation rental, or Airbnb, the client is solely responsible for obtaining permission and any required approvals from the property owner, host, or property manager.
Lake Geneva Picnic Company is not responsible for damages to lawns, landscaping, flooring, furniture, or property features that may occur due to normal picnic use, guest activity, weather conditions, or placement of décor, furniture, rugs, or equipment.
By booking, the client assumes full responsibility for the location, including:
- Securing permission to host the picnic
- Compliance with HOA rules, rental agreements, or venue policies
- Any fees, fines, claims, or damages assessed by the property owner or manager
This includes flattened or discolored grass, surface impressions, stains, or normal wear. Lake Geneva Picnic Company shall not be held liable for property damage claims, loss of deposits, or penalties incurred by the client.
Site Access & Additional Setup Fees
Picnic pricing assumes reasonable access to the setup location. Locations requiring extended carrying distances, stairs, steep terrain, long piers, limited parking, or no direct vehicle access may require additional labor.
Lake Geneva Picnic Company reserves the right to charge an additional setup or access fee, which will be communicated in advance once location details are confirmed. If the client declines the fee, standard cancellation terms apply. The client is responsible for disclosing any access limitations at the time of booking.
Food & Catering
- All picnic food is prepared by our catering partners. Lake Geneva Picnic Company is responsible for delivery and setup of food at the picnic site.
- Guests are responsible for communicating any allergies or dietary restrictions at the time of booking. Lake Geneva Picnic Company is not liable for adverse reactions or issues resulting from food consumption.
- Food items are intended for immediate consumption at the picnic and should be handled, stored, and consumed according to standard food safety practices.
- We cannot guarantee food quality after the picnic or once the setup is removed.
Photography & Media Release
Photography services booked through Callie Rose Photography are non-refundable once confirmed; however, efforts will be made to accommodate a future date in the event of weather-related changes.
By booking a picnic, clients consent to the use of photographs or media for Lake Geneva Picnic Company’s marketing purposes, including website and social media, unless they explicitly opt out in writing.
